Giving everyone on your team a voice is not only a matter of respect and inclusion, but also a way to leverage the diverse perspectives and talents of your team members. However, creating a culture of open communication and feedback can be challenging, especially when you have different personalities, backgrounds, and opinions on your team. How can you foster a team environment where everyone feels heard, valued, and empowered to contribute? Here are some tips to help you give everyone on your team a voice.
Listen actively
One of the most important skills for giving everyone on your team a voice is active listening. Active listening means paying attention to what the speaker is saying, showing interest and empathy, and asking relevant questions or paraphrasing to clarify and confirm understanding. Active listening also means avoiding distractions, interruptions, or judgments that might hinder the communication. By listening actively, you can show your team members that you care about their opinions, ideas, and concerns, and that you are willing to learn from them.

Encourage participation
Another way to give everyone on your team a voice is to encourage participation in meetings, discussions, and decision-making processes. You can do this by creating a safe and supportive space for your team members to share their thoughts, by inviting input from different perspectives, and by acknowledging and appreciating their contributions. You can also use various techniques to facilitate participation, such as brainstorming, polling, voting, or breakout sessions. By encouraging participation, you can foster a sense of ownership and engagement among your team members, and tap into their collective wisdom and creativity.
-
Using alternative methods of participation - anonymous feedback surveys, smaller group discussions, email polls. Not everyone in the team that has a voice will use it to speak out in a meeting. Given them alternative methods to ‘speak’ is really important.
Provide feedback
A third way to give everyone on your team a voice is to provide feedback on their performance, progress, and potential. Feedback is essential for learning, growth, and improvement, as well as for recognition and motivation. However, feedback should be constructive, specific, timely, and balanced, and it should also invite a response from the receiver. By providing feedback, you can help your team members identify their strengths and areas of development, celebrate their achievements and efforts, and set goals and action plans for the future.
-
An openness to take on feedback is just as important as giving feedback. When I ask someone for their feedback, and actually apply it, I'm showcasing my willingness to learn and grow for our mutual objectives. I have found this sparks a positive dialogue in my working relationships around feedback and cohesion within a team. Especially from the top down, establishing a genuine, honest and healthy desire for feedback and growth builds a positive culture within the wider organisation.
Resolve conflicts
A fourth way to give everyone on your team a voice is to resolve conflicts that might arise from differences of opinion, style, or approach. Conflicts can be detrimental to the team's morale, productivity, and collaboration, but they can also be opportunities for learning, innovation, and synergy. The key is to handle conflicts constructively, by focusing on the issue rather than the person, by listening to both sides of the story, by finding common ground and mutual interests, and by seeking win-win solutions. By resolving conflicts, you can enhance the trust and respect among your team members, and foster a culture of cooperation and compromise.
-
Conflicts arise due to situations and not people. Therefore, it is important to study about what happened rather than who made it happen. Listening to both sides of the story is crucial, further resolving with a concrete solution. Resolving conflicts give opportunities to learn, collaborate and respect opinions of people.
Empower action
A fifth way to give everyone on your team a voice is to empower action. Empowering action means giving your team members the autonomy, authority, and resources to act on their ideas, suggestions, and solutions. Empowering action also means supporting their initiatives, removing barriers, and providing guidance and coaching when needed. By empowering action, you can unleash the potential and passion of your team members, and enable them to achieve their goals and deliver results.

One thing I’ve always found helpful was allowing people the chance to fail, when it isn’t a critical situation. As leaders we need to recognize that failure is a part of the learning process and protecting that space for your team to fail is important. When members grow from their failure, it creates a stronger team.

Promote diversity
A sixth way to give everyone on your team a voice is to promote diversity. Promoting diversity means valuing and respecting the differences among your team members in terms of their backgrounds, experiences, skills, preferences, and perspectives. Promoting diversity also means creating an inclusive and equitable environment where everyone can thrive and contribute. By promoting diversity, you can enrich the team's culture, performance, and innovation, and create a competitive advantage in the market.

Create a safe space for thinkers... Not everyone can think on their feet. Some need time to ponder. When something doesn't require prompt feedback, allow people to send in their response via email/a separate discussion. Recognize the contribution publicly, it will boost their confidence for the next piece.
